BOOTH RULES AND REGULATIONS
Booth rules and regulations outline the requirements for exhibitors to set up and operate their physical booth space at an event. This covers things like display height, safety requirements, and what activities are allowed and not allowed in the exhibit area. Following these rules ensures everyone has a fair, safe, and professional environment to showcase their products or services. Booth rules will be enforced on site.
NEEDS & OBJECTIVES
The Needs & Objectives form is completed by exhibitors prior to the event to help us better understand their goals, target audience, and how they plan to engage with attendees. It also gives exhibitors an opportunity to share any questions or concerns in advance so we can provide the best possible support leading up to the event.
QUICK FACTS
The Quick Facts page gives exhibitors the essential logistics information about the event in one place. They cover things like booth inclusions, important dates, shipping details, and show schedules including move-in and move-out hours. It’s a handy guide to help exhibitors plan and stay organized for the event.

The Exhibitor Manual is your go-to guide for everything, from shipping, furniture, and electricity to setup, deadlines, and regulations.
- Mark important deadline dates in your calendar.
Order services (additional furniture, carpet, electricity, etc.) early to avoid rush fees, before October 30th, 2026.
As an exhibitor at Grand Strand Gift & Resort Merchandise Show, your booth includes with the following:

One (1) 7” x 44” Booth ID Sign (displays the company’s name and booth number)

Unlimited undraped tables 24” deep x 30” high x 4', 6', or 8' – must return complimentary form on pg. 7 in the Exhibitor Manual.

(2) Folding chairs are provided by the facility, delivered after 4pm on Dec 5th

MATERIAL HANDLING
What Is Material Handling at Tradeshows?
Material handling—often called drayage—is the service provided by the show’s general contractor to move your freight once it arrives at the show’s destination. It covers the handling of your materials from the moment they reach the venue or advance warehouse until they are delivered back to the carrier after the show.
What Material Handling Is Not

It is not shipping. You still pay your carrier (FedEx, UPS, freight company) to transport your materials to/from the city.

It is not a booth setup. Labor for building your booth is separate.

It is not storage for the entire show. Only empty crates get stored during the event
CERTIFICATE OF INSURANCE (REQUIRED)
All exhibitors with a physical space at the event are required to provide proof of liability insurance, per their event contract. This coverage protects both the sponsor and the event organizers in case of accidents, damages, or injuries that happen during the show. It’s a standard requirement to help ensure everyone’s safety and financial protection. Rain Protection is our official partner for collecting and verifying COI's. 5 TIPS TO SAVE MONEY
Ordering services like electrical, internet, furnishings, and material handling before the advance deadlines can save you significantly. Late orders will come with surcharges.
Consolidate your shipments to reduce material-handling charges and consider sending freight to the advance warehouse to avoid last-minute shipping premiums or delays that lead to extra fees onsite. Make sure you ship between the advance warehouse receiving dates of October 30 – November 20, 2026. Anything arriving after November 20th – November 27th with incur a surcharge.
Invest in modular booth elements you can rebrand or reuse for multiple shows. Swapping graphics instead of rebuilding structures saves time and budget year over year.
Review your orders with your Exhibitor Services Team to avoid unnecessary items or duplicate services. Sometimes you can downsize furniture, reduce electrical needs, or avoid extras that don’t add value.
Use complimentary items like digital listings, show logos, promotional tools, and educational webinars. These free opportunities boost your visibility without added cost.
